Preventive maintenance for laboratory equipment
in Nigeria.

Request an assessment for planned maintenance of laboratory equipment at your Nigerian facility. Use the on-page Request an assessment or Request callback controls and share each asset’s model, serial number, location, operating context, maintenance history and current documentation. A useful plan distinguishes routine maintenance from calibration, performance verification and biosafety-cabinet field certification; those activities require their own methods, qualifications and written scope.

Maintenance varies by instrument

Use the model’s current instructions and operating context to propose frequency and tasks; do not assume one annual checklist fits every asset.

Certification is a defined specialist activity

Biosafety cabinet field certification, calibration and performance verification need explicit methods, responsible personnel and deliverables.

Lab procedures stay with the facility

Maintenance planning does not supply analytical, biosafety or decontamination procedures. The laboratory controls equipment release and its own quality system.

lab calibration technical support and equipment assessment

How do I request preventive maintenance for laboratory equipment in Nigeria?

Use Request an assessment or Request callback on this page, then provide a laboratory equipment register and identify the desired maintenance outcome. Franance can review the information and discuss what an assessment or quotation would need to cover.

Start with equipment name, manufacturer, model, serial number, unique asset number, room and responsible laboratory contact. Include centrifuges, rotors and buckets as identifiable associated items; incubators and ovens by model and chamber; water systems by system type and installed options; and biosafety cabinets by class, type, model and current certification record. If exact information is missing, mark it unknown instead of inferring from a brand family. Attach the available manual, installation report and prior maintenance records.

Separate units with a reported fault, overdue calibration, failed verification or expired cabinet certificate from assets scheduled for planned maintenance. This lets the laboratory specify which decisions are urgent without suggesting that a routine visit diagnoses or restores every issue. Do not include patient information or laboratory results in a service enquiry. Identify any containment or contamination status only to the level needed to agree site access; do not send hazardous material or ask the service provider to decide whether the laboratory can safely release an instrument.

  • One register row for each instrument, cabinet and separately tracked accessory.
  • Flag faults, overdue records and equipment unavailable during proposed access windows.

Which laboratory assets and records should be included in the maintenance register?

Build the register around the unique asset identity, location, responsible person, current condition and maintenance history. WHO laboratory guidance treats equipment records and manufacturer instructions as foundations for managing maintenance.

For a centrifuge, list the instrument plus the rotor, buckets or other high-value components that have their own serial numbers or service-life records. For a temperature-controlled instrument, state the model and chamber or working volume when known, the room and the work it supports. For a biological safety cabinet, include class/type, installation location, last field-certification date and any move, filter replacement or major repair since that record. For water purification, identify the installed system and the consumable or monitoring history only if recorded by the lab.

A register is a planning tool, not proof that an item is functioning. WHO’s laboratory equipment guidance recommends establishing equipment records, preserving manufacturer documentation and documenting maintenance and repair activity. Record uncertainty honestly: a missing manual, absent commissioning certificate or unknown accessory can become an enquiry item. The laboratory should assign an owner for records and identify who can approve downtime, access and follow-up actions. Franance can assess the submitted list, but the final programme must identify the specific assets and agreed responsibilities.

  • Asset name, manufacturer, model, serial number, local asset ID and room.
  • Manual, installation, warranty and previous service/certification documents.

How often should laboratory equipment receive preventive maintenance?

Use the applicable manufacturer instructions, local requirements, instrument condition and laboratory operating context to set a schedule for each model. There is no defensible single cadence for all centrifuges, ovens, cabinets and water systems.

The WHO Tuberculosis Laboratory Maintenance Plan describes a laboratory equipment programme built around assigned responsibilities, on-site manufacturer instructions, written maintenance and calibration protocols, logs, archival records and training. That is a programme structure, not a universal frequency table for every equipment type. A maintenance proposal should identify the model-specific source used for each planned interval and explain any facility-defined schedule separately. Review the schedule when an instrument moves, changes duty, develops recurring issues or receives a major service.

  • Name the manual or manufacturer source and revision for each schedule.
  • Keep operator care separate from technical service tasks.

What should a centrifuge, incubator or laboratory oven maintenance scope identify?

Identify the instrument and its accessories, then agree only the tasks supported by the current manufacturer documentation and the supplier’s confirmed capability. Maintenance, calibration and performance verification are separate line items.

For centrifuges, the record should identify the rotor and accessories associated with the service request, since the laboratory’s intended use depends on the correct combination and the condition/history of those components. Eppendorf’s general care information discusses inspection of rotors and recommends trained-service preventive maintenance for its own instruments; use the model instructions for exact criteria. Do not use this page to inspect, repair or put a rotor back into use. A concern about damage, corrosion or an overdue record should be referred to the responsible qualified person and handled under manufacturer guidance.

For incubators and ovens, a maintenance visit does not automatically verify temperature uniformity, stability, calibration or chamber recovery. Specify whether you need mechanical/electrical maintenance, a separately defined performance check, calibration, or a temperature-mapping exercise. State the measurement range, working locations and acceptance basis if your laboratory has one. The same distinction applies to a water-purification system: routine service of a unit is not proof that the resulting water meets a particular laboratory specification. Agree methods and instruments in writing before including them in a quotation.

  • Identify centrifuge rotor, bucket and accessory records separately where tracked.
  • Name whether temperature work means service, calibration, mapping or verification.

Is biosafety-cabinet certification part of routine laboratory maintenance?

Do not assume so. Routine maintenance and field certification are distinct deliverables. A cabinet certification request should name the applicable standard, cabinet class/type, site and the person or organization expected to perform the work.

CDC laboratory work-practice guidance says biological safety cabinets should be certified according to NSF/ANSI 49 annually and after events such as cabinet relocation, HEPA-filter replacement or major repair affecting filtration performance. That is authoritative US guidance and should not be presented as a substitute for the Nigerian facility’s applicable rules, its biosafety risk assessment or manufacturer requirements. NSF explains that NSF/ANSI 49 includes field-certification test procedures and that field certifier accreditation is a separate, evaluated qualification.

When requesting a cabinet visit, provide its manufacturer, model, class/type, serial number, installation location, last certificate, previous moves or relevant repairs and the specific deliverable required. Ask whether the quotation covers maintenance only, a field-certification test, decontamination coordination, replacement filters or any resulting corrective work. The report should name the test scope and result; a general service attendance note must not be represented as a certificate. Franance’s ability and qualified personnel for any specific cabinet certification are not asserted by this page and must be confirmed before a service claim or booking.

  • Confirm whether you request routine care, field certification or both.
  • Provide the existing certificate and any move/filter/repair history.

How should maintenance be separated from calibration and performance verification?

Define maintenance, calibration, performance verification, cabinet certification and repair as distinct activities. Each needs a stated device, method, reference, acceptance basis and deliverable when it is in scope.

The WHO laboratory guidance recommends equipment-specific maintenance and calibration methods and documentation. It does not mean that any technician who services a device is automatically qualified or accredited to calibrate it. Ask who performs the activity, what procedure and reference are used, whether results are traceable where required, and what record is supplied. If a quality-system requirement names a particular certificate, scope or laboratory accreditation, provide it in the enquiry so the proposed provider and deliverable can be checked before the work is booked.

For a cabinet, field certification is a standardized performance test; it is not synonymous with changing a filter or completing general maintenance. For a centrifuge, inspection is not calibration of speed or temperature. For an oven or incubator, repair of a temperature controller is not proof of performance throughout a chamber. For purified water, equipment servicing does not establish water quality without an agreed sampling and test scope. Franance should describe only work that is explicitly supported and confirmed; where a requirement falls outside that scope, the quotation must identify it as excluded or requiring another qualified provider.

  • Name the required measurement or certification and standard/method.
  • Agree reference equipment, traceability and acceptance criteria before quoting.

How can a laboratory schedule maintenance without disrupting work or compromising safety?

Agree the asset sequence, access, operating status and downtime with the laboratory’s responsible personnel before setting a visit. The facility—not a general maintenance quotation—decides whether equipment can be taken out of service or returned to use.

Group equipment by room or type only when that makes access practical and does not obscure the status of individual devices. Identify equipment supporting critical work, planned shutdown windows, utilities or network access needed by the facility, and any relevant biosafety or contamination-control condition. The laboratory should decide what cleaning, decontamination or isolation must be completed before an external service visit. This guide does not provide those procedures; follow the institution’s written process and manufacturer instructions.

  • Coordinate downtime and room access with the equipment owner.
  • Separate maintenance scheduling from laboratory release or biosafety decisions.

What records should follow a laboratory maintenance visit?

Ask for an asset-level record of the work performed, source procedure, findings, any test results, limitations and open actions. Keep the record with the lab’s equipment archive and use it to update due dates only after review.

WHO guidance treats equipment registers and maintenance documentation as part of an organized laboratory programme. A useful record identifies the asset, model and serial number, date, responsible technician, work order, applicable manual or procedure, tasks completed and components used. Where a separate calibration, performance check or certification was agreed, request its actual results, method, reference and acceptance status rather than only a generic completion note. If an item was unavailable, a check was omitted or a result needs further review, the record should make that visible.

The equipment owner should review whether recommendations need a separate repair request, parts quotation, calibration action or biosafety/certification follow-up. The maintenance provider should not turn an observation into an unsupported diagnosis or state that a lab process is compliant merely because a visit occurred. Before the next cycle, reconcile the service record with the asset register, manual revision, warranty status and open actions. Agree how corrections to the asset list or documentation will be returned so the record remains traceable.

  • One service record per instrument or separately tracked asset.
  • Attach the test/certification report only when that separate scope was agreed.

What should a laboratory equipment preventive-maintenance quotation include?

The quotation should list the assets, exact maintenance tasks, schedule basis, site conditions, reporting and exclusions, with calibration or certification separately described and priced when requested.

A contract label such as annual maintenance or comprehensive service does not tell the laboratory what work is actually included. Ask for the model list and component coverage, visit number or proposed calendar, labour and travel, consumables, replacement parts, test activities, documentation and taxes or freight where relevant to be separated. State how new equipment, relocated units, additional findings and missed appointments are handled. If a vendor proposes a frequency, ask for its manufacturer or risk-based basis rather than accepting a generic interval without explanation.

  • Check the quoted asset inventory against model and serial numbers.
  • Separate maintenance labour, travel, parts, consumables, certification and calibration.

Brand-specific equipment support in Nigeria: Agilent BioTek microplate reader and washer equipment services – Sonics & Materials equipment service enquiries

Choose the manufacturer to review its equipment-specific enquiry requirements and available documentation before requesting a written service scope.

The brand pages explain which model, configuration and fault details to include. A listing does not establish that every service, part or manufacturer programme is available for a particular unit; the written response defines the proposed scope.

Common questions about planned care for laboratory equipment in Nigeria

Does every laboratory instrument need annual maintenance?

No universal interval is stated. Use the exact model instructions, facility policy and condition to set the schedule, and ask for the basis in writing.

Does centrifuge maintenance include rotor inspection?

Only if the rotor and relevant accessories are identified in the agreed scope. Provide their records and have any concern reviewed under manufacturer instructions.

Is annual biosafety-cabinet certification included?

It is a separate scope from routine maintenance. State the cabinet class, type, location and certificate requirement, then verify the method and qualified provider before approval.

Does an oven maintenance visit calibrate or map its temperature?

Not by assumption. Name the required calibration or performance mapping, acceptance criteria and records as separate activities in the enquiry.

Can Franance maintain a mixed laboratory fleet?

You can submit multiple device types in one asset schedule. Exact model coverage, specialist tasks, schedule and any exclusions must be confirmed per asset.
